Food Sharing HUB Supporter Volunteer

Volunteer Role

Food Sharing Edinburgh is working on an exciting new project, called the Food Sharing Hub. This will be a permanent space that enables more food to be distributed to the public, while providing a platform for food waste education and campaigning.

Supporter volunteers are responsible for helping establish the Food Sharing Hub, by offering support to one or more Food Sharing Hub Guardians.

The group has 8 Guardians, who act as the project’s steering group. Each Guardian has a particular role. They are as follows:

  1. Space Seeker/Renovations Guardian
  2. Business Relations Guardian
  3. Finance Guardian
  4. Partnerships Guardian
  5. Charity Relations Guardian
  6. Promotions Guardian
  7. Health and Safety Guardian
  8. Volunteer Experience Guardian

 

The Space Seeker/Renovations Guardian

This role will specifically focus on tasks such as:

  • Locating a premises for the Food Sharing Hub (rent budget is £10,000 per year)
  • Negotiating with property owners (you will be working alongside Ollie Nathan, Project Coordinator for Zero Waste Towns – shrub.o.nathan@gmail.com)
  • Co-ordinating a team to design and renovate the space
  • Co-ordinating artists to add creative energy to the space
  • Working closely with the Finance Guardian to calculate what is possible within our budget

 

The Business Relation Guardian

This role will specifically focus on tasks such as:

  • Becoming familiar with our current partner businesses (25) and the agreements we have established
  • Establishing connections with supermarkets and large businesses, bolstering current Food Sharing procedures to ensure contracts are signed and regular food collections are maintained
  • Negotiating with businesses in face-to-face meetings
  • Working closely with the Health and Safety Guardian to write contracts
  • Maintaining good relationships with all our partner businesses

 

The Finance Guardian

This role will specifically focus on tasks such as:

  • Being familiar with the budget
  • Keeping up-to-date on project spending
  • Reallocation of funds from under budgeted area to over budgeted area
  • Working closely with Alex (alex.mcleod@shrubcoop.org) and having a 1:1 check in at least once per month
  • Contributing to the Social Enterprise Working Group
  • Bringing budget to monthly FSH Guardians meetings and advising on what we have money for
  • Taking an active role in crowd funding

 

The Partnership Guardian

This role will specifically focus on tasks such as:

  • Becoming familiar with our current Partnership Agreements with partner organisations
  • Reviewing proposed Partnership Agreements with various organisations
  • Maintaining good relationships with our partners (through face-to-face check ins)
  • Being aware of how our Partnership Agreements may assist or clash with proposed activities of Food Sharing Edinburgh – particularly raising these points in group meetings!

 

The Charity Relations Guardian

This role will specifically focus on tasks such as:

  • Becoming familiar with and updating the current procedure Food Sharing uses to connect with charities
  • Reviewing current relationships with partner charities through phone calls / face-to-face (and preparing some useful questions!)
  • Establishing connections with more charities
  • Ensuring all partner charities are receiving adequate food supplies
  • Administering surveys for partner charities

 

The Promotions Guardian

This role will specifically focus on tasks such as:

  • Facilitating video/photographic projects to promote the Food Sharing Hub
  • Sharing material on social media (Facebook and Instagram specifically)
  • Planning and delivering the crowd funder campaign to buy a van
  • Advertising the Food Sharing Hub effectively (posters, flyers, online etc.)
  • Working closely with Rob, the communications coordinator for the overall Zero Waste Edinburgh project (shrubzwtcomms@gmail.com)

 

The Health and Safety Guardian

This role will specifically focus on tasks such as:

  • Becoming familiar with Food Sharings current health and safety policies and filling in the gaps accordingly
  • Contributing to the Food Sharing Hubs overall business plan by including important information on health and safety policies and procedures
  • Ensuring that the Food Sharing Hub exceeds health and safety standards

 

The Volunteer Experience Guardian

This role will specifically focus on tasks such as:

    • Evaluating how we can improve the experience for Food Sharing volunteers – finding out what volunteers want from Food Sharing; finding out whether they are getting this?
    • Administering surveys to record volunteer experiences and how they change (particularly through entranceand exitsurveys)

 

  • Assisting with volunteer recruitment process

 

 

About you

We need volunteers who are organised, responsible and can dedicate time to weekly meetings. Ideally volunteers would have previous experience volunteering for a charity, not-for-profit of social enterprise and will be familiar with the area of the project they choose to support.  Applications are also welcome from those with professional expertise in food waste, sustainable food or the non-profit sector.

 

Practical details

 

 

  • FSH Supporter volunteers are expected to meet with their Guardians at least once per month and take on tasks of choice in-between meetings.

 

    • It is highly recommended that FSH Supporter volunteers work in the Shrub Co-Op office space alongside their Guardians for a two hour shift per fortnight.

 

  • Volunteers are also expected to attend at least one general Food Sharing meeting per month.
  • Food Sharing Edinburgh meet on Mondays (6pm til 7pm) in the Shrub Co-Op, on 13 Guthrie Street (EH1 1JG).
  • The role requires around 2 hours of work per week.
  • A minimum commitment of 6 months is desirable.
  • This role is supported by the Project Facilitator, who is on hand if you have any questions or queries.
